Operations Manager / Operations Director

Summary:

This position will be responsible for working with the CEO, President and CFO, managing all facets of agency operations including, but not limited to, operations administration, office management, finance and accounting, human resources management, supplier management, contract management and more. This role serves as the backbone of our operations and is integral to the smooth operation of the agency.

Reporting:

Direct reporting will be to the CEO. President and part-time CFO will play a large role depending on agency initiatives.

Responsibilities:

  • Manage support functions including HR, IT, Finance, Administration, Accounting, Legal and Supplier Management. Increase the effectiveness and efficiency of these areas through improvements to each function as well as coordination and communication between functions.
  • Contribute to organizational planning and strategy, and ensure long-term operational excellence to support agency growth.
  • Develop and manage annual budgets for HR, IT, Finance, Administration, Accounting, Legal and Suppliers.
  • Oversee all office operations including relationships with landlords
  • Oversee and contribute to accounting / finance functions including client invoicing, credit card reconciliation, accounts payable / receivable, payroll and bonus program, and ongoing management of agency budgets vs. spend
  • Operations support for systems and processes including time tracking and performance reviews
  • Contract management, including client contracts and agency vendors contracts
  • Research and rollout of new agency programs and benefits
  • Involvement and management of all stages of the recruitment process of employees including job description creation, screening and scheduling appointments, conducting interviews, extending employment offers and communicating with candidates.
  • Support agency marketing functions by researching and maintaining list of agency awards and coordinating applications; researching speaking opportunities for agency CEO and President, and supporting submissions; and contributing to other agency marketing initiatives such as website development, advertising, etc.

Requirements:

  • Four year degree
  • Previous operations experience in an agency or services company setting; 8-10 years minimum experience desired
  • Accounting knowledge, general ledger and QuickBooks experience a plus
  • Maintain the confidentiality of financial transactions and sensitive agency information
  • Highly organized with attention to detail
  • Ability to communicate clearly and concisely in email or by telephone
  • Proven ability to motivate teams and rally individuals around new programs and initiatives
  • Strong time management skills and deadline oriented
  • Demonstrated ability to multi-task and make independent decisions
